A well-prepared delivery is the first step toward a smooth and timely shoot. Here's how we handle incoming shipments, what to expect when your package arrives, and what to do if something seems off.
What Happens When Your Package Arrives
Once your shipment reaches the studio, we follow a structured process to keep everything on track:
1. Delivery Check-In
We log all incoming packages during our standard check-in windows:
9:00 AM – 10:00 AM
12:00 PM – 1:00 PM
During this stage, we:
Unpack the delivery
Check the item quantities (QTY)
Ensure there is no damage from transit
Match each item and SKU to the shot list, line sheet, or any other reference documents you’ve shared
Flag any missing or extra items
After the package is logged in, you’ll get an automatic update via email. You’ll also see this update reflected in your Client Portal.
2. Item Review
Our Production team steps in to inspect the items for production readiness. This stage is essential to ensure smooth execution once the shoot begins.
Here’s what we’re evaluating:
Whether each product matches the scope of the shoot
Any styling or preparation needs not covered in the brief
Retouching considerations, like reflections or packaging materials
Potential production bottlenecks that could slow us down later
If anything requires a change in how we approach the shoot, we’ll update the proposal accordingly and confirm changes with you before moving forward.
3. Proposal Adjustments (If Needed)
If your products require additional prep, setup, or differ from what was outlined, we’ll:
Adjust your proposal to reflect the updated work
Clearly flag and explain any added services or time required
Confirm all changes with you before moving forward
This helps us stay aligned and avoid surprises once production starts.
4. Invoice Sent
Once everything is confirmed and aligned with your project scope, we issue your invoice. From there, your project moves into production.
How Long Does It Take to Process Deliveries?
In most cases, we process shipments within 1 business day. That includes logging, reviewing, and invoicing. However, processing time may vary based on:
Delivery timing: Packages delivered after 1 PM are logged the next business day.
Mismatch with the shot list: If received items differ from what’s listed, we’ll pause to clarify.
Large-volume projects: Bigger shipments take more time to sort, check, and match with your proposal.
Tip: The more organized your package is — with clear labels, documentation, and matching SKUs — the faster we can move things along.
Why It Might Take a Bit Longer Sometimes
In addition to our internal processing steps, there’s also time spent locating the package inside the building after it’s marked as delivered by the shipping service.
Most carriers deliver directly to our studio buildings:
In Los Angeles, they use a door code to enter and drop off the package.
In New York, they typically use the intercom system to access the building, and packages may be left near our door, in the lobby, or handled by the building staff.
In most cases, this works smoothly. But occasionally, certain carriers — especially USPS — may leave packages in the wrong location (another suite, building office, or even a neighboring address), which can cause delays in us locating and logging your shipment.
