Complete guide to prepare your products for delivery

This article is a brief overview of why proper shipping matters—both for getting your products to us safely and ensuring a smooth turnaround of photography services.

Well-organized deliveries help us keep the review process within a 24-hour window. If any information is missing or an item is damaged, the review may take longer—potentially delaying your shoot. Following the guidelines below will help us keep everything on schedule.

General shipping checklist

Before preparing your items for shipment, confirm that your proposal is signed. Use the following checklist each time you organize a delivery:

  1. Verify SKUs, quantities, and styles match the signed proposal

  2. Print and attach the correct address label with your Project ID*

  3. Pack items securely to avoid any damage during delivery

  4. Select a reliable carrier (we recommend avoiding USPS)

  5. Use shipping insurance**, especially for valuable goods

  6. Include a return label inside your package

  7. Add a tracking number to the Client Portal. Here's an instruction.

*You get the Project ID by email when the proposal is accepted.

**You can protect your products against loss or damage during shipping by purchasing insurance from the carrier directly or from third-party insurers such as Route, Shippo, or Shipsurance. The decision to use shipping insurance depends on the value of the package and your willingness to risk completely losing a shipment.

What helps avoid delays with review

As soon as your package arrives, our studio team cross-checks every item against your shot list and proposal. To help us complete this review within 24 hours—and to prevent any hold‐ups—please consider these helpful steps:

  • Include a printed SKU sheet:

    Place a clear, printed list inside your box that outlines each SKU, description, size/color (if applicable), and quantity. Alternatively, label each item to give us understanding of what SKUs we have received.

  • Label each item clearly:

    Tag each SKU/product type so our team can easily recognize them. This is particularly important for larger-volume projects or those with similar-looking products.

  • Group and sort products:

    Organize items by category—apparel in one section, accessories in another—and pack them together. If you have multiple ongoing projects and packages to ship, organize each project’s items in separate cartons so nothing gets mixed up.


Best practices by product category

Below are specific guidelines for common product types.

Apparel & Accessories

  • Size: For ghost mannequin photography, ensure the products are sent in the correct sizes for our mannequins. You can check the size details here.

  • Bags: To have bags photographed “open” or “stuffed,” pre-stuff them before shipping to avoid extra fees.

  • Package: Fold neatly and wrap in plastic to protect against moisture. To prepare items after delivery, we offer an add-on Steaming at $3/item.

Cosmetics & Liquids

  • Swatches & Samples: For beauty and food swatches, provide several samples of each item. Multiple attempts may be needed to capture accurate color and texture.

  • Packaging: If the product packaging itself will be photographed, send it in perfect, undamaged condition—no dents, scratches, or leaks.

Jewelry & Fragile Items

  • Insurance: Fragile and jewelry items should be insured with the carriage services for added protection.

  • Protective Wrapping: Wrap each piece individually in bubble wrap or foam to prevent scratches or breakage.

  • “Fragile” Label: Apply a “Fragile” label on your shipment to alert handlers to take extra care.

Oversized Items

  • Assembly Options: If a product requires assembly, you may ship it pre-assembled. We will assemble it on-site for $20 per item—just include clear assembly instructions.

  • Delivery Assistance: For large or bulky items, arrange a delivery with a representative or assistant to ensure safe unloading.
