Cancellation, Rescheduling, No-show & Late Arrival Policy

This policy outlines the fees associated with rescheduling, cancellations, no-shows, and late arrivals for both product and model shoots. Fees are determined based on how far in advance the client notifies Squareshot of the timing change.

Rescheduling policy

The policy applies to model and per-hour product shoots.

  1. Clients may reschedule their shoot at no additional cost if they notify Squareshot more than 24 hours before the scheduled shoot time.

  2. Any rescheduling notification submitted less than 24 hours before the shoot is subject to the following terms:

Cancellation policy

The policy terms vary depending on the project type. All cancellations are subject to a refund issued to the client with a cancellation fee deducted, if applicable.

Per-image product projects

  1. Clients may cancel the project at no cost before the payment is processed or within the first 24 hours following the payment.

  2. If more than 24 hours have passed since the payment and the project deadline has not yet been met, the client may cancel the project for a cancellation fee of $250.

Per-hour product projects

  1. Clients may cancel the project at no cost before the soft hold date for the shoot is confirmed.

  2. Once the payment is completed and the soft hold date is confirmed, clients can cancel the project with the following fees applied:

Model projects

  1. Clients may cancel the project at no cost before the soft hold date for the shoot is confirmed.

  2. Once the payment is completed and the soft hold date is confirmed, clients can cancel the project with the following fees applied:

No-show policy

A no-show is defined as the failure of the client-contracted model(s) or brand representative to join the remote or in-studio shoot within 2 hours of the scheduled start time, without prior notice to Squareshot.

In the event of a no-show, the shoot will be automatically rescheduled, and the following fees will apply:

Late Arrival Policy

If a client-contracted model or brand representative arrives late for the scheduled shoot, the team will coordinate solutions based on the project scope of work. Delays exceeding 2 hours are considered a no-show. The policy supports the following solutions:

  1. Shoot time is extended at an extra hourly rate defined by our per-hour pricing. It helps achieve all the project scope scheduled for the shoot timing.

  2. The number of final deliverables is decreased to adjust to the remaining shooting time, taking into account the late arrival.
